From Application to Placement - Here Is Exactly What Happens

Step 1

Submit Your Application (1-2 Minutes)

Start by filling out a short application form and uploading your CV. We ask for the basics — your experience, preferred role, and availability. That is all we need to get started. You will not spend 45 minutes filling out redundant fields or answering questions that have nothing to do with the job. We respect your time from the very first interaction.

Step 2

Role-Based Skill Check

If your profile matches an open role, you will receive an assessment link within a few days. This is not a generic aptitude test. It is a role-specific evaluation designed to measure the skills you will actually use on the job. Applying for insurance verification? You will be tested on insurance verification workflows. Applying for medical reception? You will be evaluated on patient communication and scheduling scenarios. The entire assessment takes no more than 1.5 hours. Focused. Relevant. No busywork.

Step 3

Interview With Our Recruitment Team

Candidates who pass the skill check move to a single interview with our recruitment team. This is a conversation — not an interrogation. We discuss your background, your preferred working hours, and which role fits your strengths. One call. One interviewer. No panel of five people asking you to "describe a time when you overcame a challenge."

Step 4

Client Matching

After the interview, our matching team reviews your profile against active client needs. We consider your skills, experience level, preferred schedule, and communication style to find the right fit. This is not random assignment. We match intentionally because better matches lead to longer placements, stronger working relationships, and VAs who actually enjoy their work.

Step 5

Training and Onboarding

Before you start with your client, you go through role-specific training. You learn the tools, the workflows, and the expectations for your particular position. When your first day arrives, you are prepared — not scrambling. Training covers areas like EMR/EHR navigation, HIPAA compliance, patient communication protocols, and the specific software your client uses.

Step 6

Start Working and Growing

Once training is complete, you begin working directly with your U.S. healthcare client. You will have ongoing support from Portiva's operations team, regular check-ins, and access to additional training as your role evolves. This is not a gig. It is a career. And Portiva is invested in making sure you succeed in it.
